Responsible for the organization and coordination of office operations, business support, procedures, and resources to facilitate organizational effectiveness and efficiency.

Responsibilities:

Assistant to the Country Director:

  • Provide administrative and secretarial support to the Country Director, including preparing statistical reports, analyzing information, creating presentation decks, and other administrative tasks.
  • Assist with expense reports and processing invoices for the Country Director's office.
  • Prepare meeting agendas, presentations, and other necessary materials. Attend meetings, take minutes, and follow up on action items.
  • Handle information requests and prepare correspondence.
  • Receive visitors and arrange conference calls.
  • Maintain appointment schedules by planning and scheduling meetings, conferences, and travel.

Business Support Team Leadership:

  • Lead, manage, and supervise the business support/admin team.
  • Monitor and evaluate the effectiveness of business support/admin/reporting services across all Business Units, identifying areas for improvement and implementing solutions.
  • Ensure data accuracy and timely reporting for the business.
  • Maintain office efficiency and record keeping, partnering with global shared service (GBS) in facility management.
  • Design and implement procedural and office policies (in line with ASEAN policies) to improve operational efficiency.
  • Ensure adherence to office policies and procedures.
  • Manage supply requisitions, maintain office equipment and telecommunication systems, and manage office costs effectively.
  • Act as the key admin liaison with other agencies, organizations, and network groups.
  • Coordinate complex travel logistics, including flight booking, accommodation, ground transportation, visa applications, and travel itineraries.
  • Assist with human resources tasks, including onboarding/offboarding employees, coordinating new hire orientation, updating organization charts, and related administrative tasks.
  • Ensure record retention and filing systems are maintained and up to date.
  • Transfer and dispose of records according to Malaysia retention schedules and policies.
  • Ensure security and confidentiality of data.

Others:

  • Act responsibly to avoid risks and comply with workplace safety, health, and security policies.
  • Perform other duties as assigned within the role.

Education:

  • Bachelor’s degree in business administration or equivalent.

Experience:

  • Minimum 6 to 10 years of secretarial and/or office management experience.
  • Proficient in MS Office applications.

Competencies:

  • Good planning, organizing, problem-solving, and decision-making skills.
  • Assertive, flexible, accurate, and able to work under pressure.
  • Fluent in spoken and written English.
