We are seeking a competent Admin Coordinator to support our administrative operations. The primary responsibility of this role is to provide administrative support to various departments while also managing purchasing activities. The ideal candidate will be organized, efficient, and possess excellent communication skills.
Responsibilities
Provide administrative support to ensure efficient operations.
Assist with onboarding new employees, including preparing documents, setting up workstations, and facilitating orientation sessions.
Assist in the preparation of reports, presentations, and documents as needed.
Assist in managing databases and filing systems, ensuring data accuracy and accessibility.
Coordinate purchasing activities, including obtaining quotes, placing orders, and tracking deliveries.
Research potential vendors and negotiate pricing and terms.
Maintain accurate records of purchases and inventory levels.
Work closely with department heads to understand their procurement needs and priorities.
Ensure compliance with company purchasing policies and procedures.
Monitor inventory levels and reorder supplies as needed.
Conduct regular inventory audits to reconcile stock levels and identify discrepancies.
Work with vendors to resolve issues related to orders, deliveries, and quality concerns.
Cultivate and maintain positive relationships with vendors and suppliers.
Evaluate vendor performance based on factors such as quality, reliability, and cost-effectiveness.
Address any issues or concerns raised by vendors in a timely and professional manner.
Input data into relevant systems and databases accurately and efficiently.
Assist in analyzing purchasing trends and expenses to identify cost-saving opportunities.
Requirements
Diploma or equivalent; associate’s or bachelor’s degree preferred.
Proven experience in an administrative or purchasing role.
Strong organizational skills with the ability to prioritize tasks and manage time effectively.
Excellent communication and interpersonal skills.
Attention to detail and accuracy in data entry and record-keeping.
Ability to work independently with minimal supervision as well as part of a team.
Knowledge of purchasing principles, practices, and procedures.
Ability to multitask and adapt to changing priorities in a fast-paced environment.\
