A leading company in Subang Jaya is seeking a Company Secretarial Executive/Assistant to manage board meetings, prepare corporate documents, and ensure compliance with statutory requirements. The ideal candidate should have a degree in Corporate Administration and at least one year of relevant experience. Strong communication skills and proficiency in Microsoft Office are essential for success in this fast-paced environment.
Assist in organizing and coordinating Board Meetings, including booking venues, preparing reports and documents, producing minutes, preparing agendas and board resolutions, and circulating board papers.
Prepare incorporation documents for new companies.
Ensure timely preparation of resolutions, minutes of meetings, and other corporate secretarial documents.
Update and maintain secretarial records to comply with statutory requirements.
Maintain statutory books, administrative records, and update registers of members, directors, secretaries, charges, transfers, substantial shareholders, and beneficial owners.
Liaise with external regulators and advisers, such as bankers, lawyers, and auditors, for the statutory audit of the Company Secretarial records.
Handle ad-hoc assignments, corporate or restructuring exercises.
Assist in various corporate exercises by providing accurate information or documents to advisers and solicitors.
Perform any other duties as instructed by superiors and management from time to time.
