As part of our HR team supporting school operations, you will play a key role in delivering day-to-day HR services across the employee life cycle. Your contributions will help ensure a smooth, compliant, and people-focused environment for our educators and support staff.

Responsibilities:

  1. Manage the recruitment process: job postings, candidate sourcing and screening, interview scheduling, and preparation of offer letters and contracts.
  2. Liaise with new joiners on required documentation (e.g., passport scans, photos, forms) and support onboarding logistics.
  3. Arrange induction sessions with service providers (e.g., banks, tax department, medical insurer) and handle urgent onboarding needs such as visa runs.
  4. Coordinate expatriate onboarding, including visa and pass applications, liaising with immigration authorities, and monitoring application status until approval.
  5. Support MOE teaching permit applications: guide staff, compile documents, liaise with the State Education Office, and ensure timely submission and renewal.
  6. Support offboarding procedures: coordinate clearance process, schedule and document exit interviews, and assist with tax clearance.
  7. Track and follow up on probation reviews and performance appraisals (mid-year, end-of-year, self-assessments).
  8. Generate appraisal summary reports and highlight performance matters or achievements to HRM/SLT.
  9. Maintain and organise employee records, including MOE permits, compliance forms, and central HR files.
  10. Administer the leave system: provide system guidance, track medical certificates, and monitor return-to-work documentation.
  11. Monitor and flag concerns related to absenteeism or tardiness to the HRM or leadership team.
  12. Liaise with medical insurance providers to register new staff and dependents, and handle related benefit enquiries or changes.
  13. Coordinate monthly payroll preparation, including data on unpaid leave, new hires, resignations, and relevant deductions.
  14. Prepare payroll summaries for review and approval by the HR Manager and Principal.
  15. Support manpower costing and budgeting exercises with school leaders and HRBP.
