Job description

Job Description:

The jobholders are accountable for business support activities within FHS operations (IASMM) and have the following responsibilities to support the FHS team in Kuala Lumpur. Additionally, the jobholder is responsible for active communication with local management and the central team to ensure process and activity consistency.

The Jobholder manages daily office procedures & procurement activities, ensures compliance with Environment, Health, and Safety (EHS) requirements, and supports project planning & execution.

  1. Manage office stock, prepare reports (expenses, budgets), coordinate travel arrangements.
  2. Disseminate regional operation SMR scope such as AOS, Process Quality, Competency & Learning, Business Controlling, Change & Improvement, EHS & Governance, Innovation, aligning with central processes.
  3. Coordinate with shared services (HR & IT) for staff onboarding, transfers, and departures.
  4. Develop & maintain the IASMM regional operations dashboard / KPIs, follow-up, and closure of actions.
  5. Manage technical and soft skills requests for upskilling activities; organize, monitor, and record staff training.
  6. Collaborate with stakeholders in Central and Region on FTE updates, process updates, etc.
  7. Manage office supplies stock and procurement as per Airbus processes.
  8. Oversee the team’s operating costs.
  9. Support headcount tracking and hiring, including planning and onboarding for AMSM organization.
  10. Prepare reports on expenses and budgets.
  11. Update office policies and guidelines as needed.
  12. Ensure HS policy/rules compliance and office setup adherence.
  13. Maintain IASMM distribution list and manage FHS KUL site updates.
  14. Ensure smooth daily and long-term administrative activities.
  15. Perform other duties as assigned by the Company.
  16. Support the coordination and organization of yearly objectives workshops (Hoshin Kanri).
  17. Manage subcontractor contractual obligations, cost monitoring, and renewals.
  18. Implement Airbus SOPs and support project implementation.
  19. Assist in travel and accommodation reimbursement processes.
  20. Ensure staff onboarding and transfers are well-managed.
  21. Participate in the AMCS EHS committee, supporting EHS policy/rules implementation and compliance.
  22. Lead or assist in organizing team-building activities, office events, external events, and sustainability initiatives.
