Front Desk Officer / Receptionist (Contract) - Corporate Admin
Front Desk Officer / Receptionist (Contract) - Corporate Admin

Responsible for managing the reception area, providing excellent customer service to visitors, and maintaining an organized front office area and main lobby.

Key Accountabilities

  • Manage and maintain the front desk/reception area, keeping it clean, organized, and free of clutter.
  • Greet staff and visitors entering the building, answer any questions or queries, provide directions, and alert staff when there are visitors to meet or visit them.
  • Manage and update the database/building log of visitors entering and exiting the building, ensuring all information is accurate and up to date.
  • Handle a multiple-line phone system, screen and manage telephone calls and inquiries by routing them to the proper extensions or take and deliver messages to the recipient with accurate information to clients and visitors.
  • Accept deliveries of official letters/mail and documents, organize them in the pigeon-hole at level 2 and manage outgoing mail and packages for pickup by representatives from courier service or Pos Laju.
  • Manage, organize and monitor meeting room reservations and the availability.
  • Serve as the front line of the company with pleasant, professional and friendly service to guest/visitors who come to Menara Prasarana or who contact Prasarana office via phone.
  • To maintain a good image of Prasarana, ensure that the lobby and reception area are clean and comfortable for staff and guests.
  • Ensure that the Auxiliary Police are always at the lobby area to monitor security and a safe environment.
  • Ensure compliance with all safety procedures are adhered to by visitors and staff.
  • To provide the best administrative support, filing documentation (if any), preparing reports related to respective tasks and performing any ad hoc tasks/projects as assigned.

Qualifications, Skills & Knowledge

  • Minimum certificate in Office Management, Customer Service Management Tourism Management or equivalent.
  • Minimum 1 year of experience in Customer Service, Receptionist, Front Office Executive, or similar role.
  • Strong written and verbal communication skills.
