Bachelor’s degree/ Diploma in Human Resources or a related field

Fluency in Japanese (both written and spoken) is required - Level N2 and above

Japanese Language Allowance (in addition to base salary):

JLPT N1: RM1,500/month

JLPT N2: RM1,000/month

JLPT N3: RM300/month

JLPT N4: RM100/month

Key Responsibilities:

Training & Development:

Source and evaluate suitable training providers and courses aligned with the organization’s needs.

Manage training course registrations, and schedules.

Oversee HRDF (Human Resource Development Fund) management, including claims and submissions.

Coordinate pre & post-training evaluations and compile training evaluator assessment reports.

Ensure proper documentation of all training-related records for audit and compliance purposes.

Prepare and maintain detailed training reports for management review.

Conduct induction sessions for new employees, providing comprehensive guidance on company policies, regulations, and workplace expectations.

Support document change training and certification tracking in line with the Manufacturing Qualification Procedure, ensuring timely delivery and compliance.

Assist with Legal Support:

Assist in reviewing, analyzing, and organizing business contracts and agreements related to HR functions, including employee agreements, vendor contracts, and third-party arrangements across multiple branches.

Support the Legal Support function in ensuring that all contracts and HR practices comply with applicable labor laws, company policies, and industry standards.

Aid in the drafting and revision of new contracts or amendments, working closely with relevant departments to ensure legal accuracy and alignment with company policies.

Coordinate with external legal counsel when required, including scheduling consultations and gathering documentation for legal review.

Assist the key person-in-charge (PIC) in handling labor relations matters.

Payroll Backup Support:

Manage leave and attendance records to ensure accurate payroll processing.

Address queries related to leave and attendance systems.

Assist in managing inpatient and outpatient benefits, including processing medical claims and reimbursements, coordinating with insurance providers & panel clinics, and maintaining accurate records of employee medical entitlements and usage.

Assist in managing foreign worker documentation, work permits, and compliance.

Monitor their accommodation and overall well-being, addressing any issues promptly.

Employee Engagement and Welfare:

Plan, organize, and implement employee engagement activities and welfare events.

Collaborate with internal teams to foster a positive workplace culture.

Act as the host or coordinator for HR-related meetings, including preparing meeting agendas, minutes, and follow-up actions.
