Human Resource Officer (Staffing and Recruitment Management)

Your new role

Curtin University Malaysia is looking for a dynamic, organized, and driven Human Resource Officer (Staffing & Recruitment Management) to join our HR team. This position is critical to managing the end-to-end recruitment and staffing process, especially for academic appointments, while also ensuring that our HR data systems, permits, and compliance requirements are meticulously handled.

You will play a major role in shaping the talent pipeline that drives Curtin’s excellence, liaising with internal stakeholders, candidates, and external agencies to attract, hire, and retain the best talents for our university.

If you have a sharp eye for detail, and can manage recruitment campaigns independently, we want you on board!

What you’ll be doing:

End-to-end recruitment:

Manage the full recruitment process from job posting to offer acceptance.

Draft and publish vacancy advertisements across online platforms and networks.

Coordinate with hiring managers and Curtin Perth counterparts on shortlisting and interview arrangements.

Organize interviews, prepare documentation, liaise with panel members and candidates, and conduct reference checks.

Immigration and permit management:

Handle employment pass and teaching permit applications for newly hired academic staff.

Monitor permit renewals and ensure timely submission of documentation.

HRIS and data management:

Enter and update employee records in the HR Information System (HRIS).

Maintain accurate and organized recruitment files and documentation.

Generate staffing and recruitment reports when required.

Onboarding and offboarding support:

Facilitate staff onboarding processes including ID generation and induction arrangements.

Manage exit procedures and clearance documentation for departing staff.

Staff ID management:

Liaise with Curtin Perth to create Perth ID numbers for staff and manage the renewal of expiring IDs.

Statistics and reporting:

Generate staffing and recruitment reports and workforce statistics as required for internal and external reporting needs.

Fixed asset administration (HR Department):

Maintain up-to-date records of departmental assets.

Process improvement and compliance:

Identify opportunities to enhance recruitment processes and candidate experience.

Ensure all staffing activities comply with employment laws, university policies, and audit requirements.

Qualifications:

Bachelor’s Degree in Human Resources, Business Administration, or a related field.

Experience:

Minimum 2 - 4 years of hands-on experience in recruitment, staff operations, or HR administration.

Experience in a university or large organization is an added advantage.

Skills and attributes:

Solid understanding of end-to-end recruitment and employment processes.

Familiarity with HRIS systems and Microsoft Office applications (Word, Excel, PowerPoint).

Excellent communication skills in English and Bahasa Malaysia, both written and spoken.

Strong interpersonal skills with the ability to manage multiple stakeholders effectively.

Highly organized, detail-oriented, and able to manage competing priorities independently.

Ability to demonstrate high level of professionalism, discretion and emotional intelligence

A proactive approach with a commitment to service excellence and continuous improvement.
