Job description

As a Procurement Executive, you will work closely with various departments to ensure procurement operations run smoothly and to avoid supply disruptions. You will also liaise with principals for timely delivery and coordinate with forwarders for clearance matters. Ensure all bookkeeping records are up to date.

Role and Responsibilities:

  1. Follow up on goods delivery/import shipment schedules with local and overseas vendors/suppliers to ensure products are shipped and delivered on promised dates.
  2. Manage and monitor the clearance cycle, including following up on shipping documents with the principal and checking and confirming K1 drafts.
  3. Maintain complete and updated purchasing records and pricing in the system.
  4. Verify, check, and confirm the correctness of all purchasing invoices along with shipping documents, and submit them to the Accounts Department for processing without delay.
  5. Prepare monthly purchasing reports and submit them to top management on time.
  6. Reconcile month-end stock balances and submit monthly stock reports to the Finance Department.
  7. Represent the company in purchasing meetings and other relevant meetings as required.
  8. Ensure purchasing documents are properly filed for easy retrieval and timely access.
  9. Work closely with various stakeholders to ensure timely information and data accuracy, avoiding supply disruptions and related issues.
  10. Perform any other ad-hoc purchasing operations duties as directed by superiors or management.

Qualifications and Education Requirements:

  • Minimum Degree/Diploma/Advanced/Higher/Graduate Diploma/Certificate in Purchasing and Supply Management, Accounting, Business Management, Economics, or equivalent.

Preferred Skills:

  • Related working experience in the FMCG industry.
  • Good knowledge of import procedures.
  • Computer literacy in Excel, Word, PowerPoint, SQL Financial Accounting, ERP Pronto System, etc.
  • Excellent analytical, creative problem-solving, forecasting, and mathematical skills, with a passion for figures.
  • Ability to work independently with minimal supervision, under pressure, efficiently in a fast-paced environment, and meet deadlines.
  • Fresh graduates are encouraged to apply.
  • Effective communication skills in English, Bahasa Malaysia, and Mandarin; Korean language skills are an advantage.
  • Good attitude, focus, persuasiveness, diligence, and willingness to learn.
  • Own transportation is required.
  • Based in Shah Alam.
