This role involves duties in purchasing and procurement functions. The goal is to ensure all purchasing and procurement activities for the group are supplied timely, meeting operational needs and adhering to specifications, quality, and cost targets. The role also includes managing supplier relationships to build effective partnerships, ensuring supply continuity and obtaining the best purchasing terms.
PURCHASING
- Sourcing, evaluating, comparing, and negotiating prices to obtain optimal supply options.
- Liaising with local and overseas suppliers, especially China suppliers, to ensure quality, quantity, delivery, and pricing are correct.
- Communicating and coordinating with the warehouse for stock levels and placing orders accordingly.
- Monitoring, expediting, and tracking supplier updates on order readiness and delivery as per lead times.
- Tracking orders to ensure timely delivery to meet client deadlines.
- Verifying supplier invoices and delivery orders, then passing them to accounts for payment.
SHIPPING
- Liaising with forwarders for vessel booking, container hauling, and customs declaration for sea freight shipments.
- Coordinating with the warehouse for export stuffing arrangements.
- Verifying export shipping documents such as Bill of Lading, Certificate of Origin, Cargo Tracking Note, and Certificate of Conformity with forwarders/agents.
- Following up on export shipments to ensure accuracy of shipping documents and timeliness of delivery.
- Tracking shipments and updating clients and operations teams on status.
- Liaising with insurance agents for export shipment coverage.
- Performing other duties or learning scopes as assigned by superiors.
Requirements:
- Candidate must possess at least a Professional Certificate, Diploma, or higher in Logistics, Transportation, Business Studies, Administration, Management, or related fields.
- Minimum 2 years of relevant experience in procurement and shipping.
- Proficiency in MS Office applications.
- Ability to communicate independently with local and overseas forwarders/suppliers, especially in China.
- Dedicated, proactive, meticulous, responsible, and able to work under pressure and meet deadlines.
- Team player with a responsible attitude.
- Languages: English, Mandarin, Bahasa Malaysia. We are seeking candidates proficient in Mandarin to communicate effectively with Mandarin-speaking clients.
