Job summary

A leading specialized food distribution company in Asia is seeking a Procurement Executive. This role involves managing purchase orders, liaising with suppliers, and ensuring timely deliveries. Candidates should have a degree in Business or related fields and relevant experience in procurement, particularly in the Food & Beverage sector.

  • Issue Purchase Orders (POs) to Suppliers
    • Prepare and issue accurate purchase orders to suppliers based on the requirements specified by internal teams.
    • Ensure that all necessary details such as product specifications, quantities, and delivery terms are clearly outlined in the PO to avoid any discrepancies.
  • Follow Up with Suppliers for Order Confirmation
    • Proactively contact suppliers to obtain order confirmations, ensuring that all terms and conditions in the PO are acknowledged and accepted.
    • Verify that the order confirmation aligns with the agreed-upon pricing, lead time, and other contractual terms.
  • Update Delivery Schedules for the Warehouse Team
    • Communicate and update the warehouse team with accurate and timely delivery schedules to ensure smooth coordination and planning for inventory reception.
    • Track deliveries closely and provide the warehouse team with updated timelines in case of delays or changes to the schedule.
  • Liaise with Suppliers in the Event of Discrepancies or Claims
    • Serve as the point of contact between the company and suppliers when discrepancies (e.g., quantity, quality, or specification issues) arise.
    • Work with suppliers to resolve issues and claims promptly, ensuring all solutions are documented and appropriate actions are taken to prevent recurrence.
  • Verify Supplier Invoices and Submit for Approval
    • Review and verify supplier invoices for accuracy, ensuring that the quantities, pricing, and other terms match the purchase order and any delivery notes.
    • Submit the verified invoices to the superior for approval. Upon approval, submit the invoices to the Finance department for processing and payment.
  • Perform Goods Reception in ERP System
    • Manage the goods receipt process by accurately entering the received goods into the ERP system, ensuring all relevant data (e.g., quantity, condition, and delivery date) is captured.
    • Ensure that all goods are inspected upon arrival and discrepancies are immediately reported and addressed.
  • Monitor Purchase Order (PO) Status
    • Track and monitor the status of open purchase orders to ensure that deliveries are being made on time and in full.
    • Regularly update internal stakeholders on the status of outstanding orders, and take proactive action to address any delays or issues with suppliers.
  • Other Jobs Assigned by Superior
    • To carry out additional tasks and responsibilities as assigned by the superior, ensuring that all procurement activities are executed in line with the company’s objectives and policies.
    • To perform any other duties or ad-hoc task as assigned by superior or management from time to time.

Job Requirements:-

  • Candidate must possess at least Bachelor’s Degree in Business Administration, Supply Chain Management, Procurement or related field.
  • At least 2-3 years' of experience in Procurement within the Food & Beverage (F&B) or e-commerce industry, demonstrating a strong understanding of the specific sourcing, purchasing, and supply chain dynamics within these sectors.
  • Experience working in a fast-paced, deadline-driven environment, ensuring timely deliveries while maintaining cost efficiency and minimizing stockouts.
  • Possess strong negotiation skills & good analytics skills.
  • Good communication skills, self-motivated, resourceful, process-result-driven and with high integrity.
  • Excellent skills in Microsoft Office applications.
  • Familiarity with procurement software and ERP systems (such as SAP, Oracle, or others).
  • Experience and exposure in AX Dynamics would be added advantage.
