Job description

Key Responsibilities:

  • Assist the Dormitory Coordinator in daily operations, including handling visitors, conducting document audits, and resolving complaints.
  • Manage administrative tasks such as tenancy agreements, LHDN stamping, and updates to the HMS system.
  • Oversee move-in/out procedures, handle customer document requests, and coordinate with external agencies (e.g., Bomba, JTK, MPKU).
  • Support ISO documentation, reporting (e.g., pest control, fire systems, water testing), and audit processes.
  • Organize internal events (assemblies, fire drills, festive activities), prepare presentation slides, and promote events through posters.
  • Supervise and guide Dormitory Wardens, including task allocation, on-the-job training, and verification of HMS data.
  • Maintain proper filing systems and manage customer cash receipt records.
  • Act as a liaison for customer meetings and third-party inspections.

Others:

Perform tasks assigned by the Dormitory Manager.

Authorities:

  • Request overtime (OT) approval from the Dormitory Warden.
  • Organize tasks for the dormitory warden.
  • Authorize or decline resident event requests.

Working Experience:

Minimum 1 year of experience in administration.

Academic Qualification:

Minimum SPM qualification.

Applicable Skills & Knowledge:

  • Computer literacy
  • Knowledge of administrative work
  • Proficiency in spoken and written Malay and English
  • Good communication skills
  • Customer service skills
