Job description

Job Responsibility

  • Maintain and manage documents using the company's electronic document management system (EDMS), ensuring accurate indexing, version control, and accessibility for all project team members.
  • Control the flow of documents between internal teams and external stakeholders, including clients, contractors, and consultants, ensuring timely distribution and receipt confirmation.
  • Implement and enforce document control procedures and protocols in accordance with company standards and project requirements, conducting regular audits to ensure compliance.
  • Prepare and maintain document control reports, including document status, distribution lists, and overdue documents, providing regular updates to project managers and stakeholders.
  • Assist in the development and maintenance of the document control system, identifying areas for improvement and implementing solutions to enhance efficiency and accuracy.
  • Provide training and support to project team members on document control procedures and the use of the EDMS, ensuring consistent application of best practices.
  • Archive and retrieve documents as required, ensuring proper storage and disposal of obsolete documents in accordance with company policies and legal requirements.

Job Requirements

  • Possess a minimum of a Diploma in a relevant field such as Information Management, Construction Management, or a related discipline.
  • Demonstrate exceptional attention to detail and organizational skills to accurately manage and maintain project documentation.
  • Exhibit proficiency in both written and verbal communication in English, Bahasa Malaysia, and Mandarin to effectively liaise with diverse stakeholders.
