Job description
JOB PURPOSE

Support the Marine Compliance, HSE, and Operations departments through effective document and records management. The Document Controller will ensure the accuracy, availability, and proper control of documentation, contributing to operational efficiency, compliance, and audit readiness.


KEY ACCOUNTABILITIES


  • Maintain document control procedures and the library archive system for Asset Management.

  • Manage documented information in SEB Group portal applications (SharePoint, TMS, Synergi, TM Master, etc.).

  • Monitor document registration, reference numbers, and document movement.

  • Oversee day-to-day company operations and asset documentation.

  • Archive offshore/onshore project documents.

  • Manage company database and incoming/outgoing correspondence.

  • Assist with quality control documents: development, review, revision, distribution, implementation, and maintenance.

  • Support process improvement initiatives, audits, inspections, and corrective/preventive actions.

  • Provide support in environmental reporting, fuel management data collection, and marine compliance requirements.

  • Assist the Marine Compliance Department, HSE Department with man-hour data, and Operations Department with audit documentation.

  • Provide assistance with minor office administrative tasks when required.


QUALIFICATIONS / EXPERIENCE


  • Diploma or Degree in Record Management, Information Technology, Engineering, or Business Management.

  • Minimum 5 years’ experience in project or corporate document control.

  • Proficient in English with strong communication, interpersonal, and organizational skills.

  • Highly self-motivated and able to work independently.

  • Strong computer literacy, including Microsoft Office and PDF software.

  • Familiarity with ISO:9001 is required; Power BI is an added advantage.
