Document Control Coordinator/ Quality Clerk

The Document Control Coordinator (DCC) is responsible for managing and maintaining all documentation related to ISO systems and inter-departmental records. This role ensures that all documents are properly updated, distributed, and maintained in accordance with company policies and audit requirements.
Key Responsibilities:
- Update daily attendance records and send them to the HR department.
- Monitor employee leave using the TMS system.
- Track and manage A4 paper usage across departments.
- Prepare OT forms, collect signatures from HOD and AGM, and submit to HR.
- Issue gate passes for Friday prayers.
- Maintain weekend transportation and canteen OT summaries in HR folder.
- Prepare mileage claim forms and obtain necessary signatures before submission to Finance.
- Maintain and update training records and attendance lists.
- Track uniform sizes and maintain uniform issuance records.
- Manage stationery and asset inventory, including ordering from the Purchasing Department.
- Request and monitor First Aid and PPE supply usage.
Document Control:
- Receive documents for registration and determine their status before updating the master list.
- Prepare and distribute copies of the document master list.
- Properly file documents and stamp them accordingly (e.g., Master, Controlled, Uncontrolled, External, Obsolete).
- Issue and track Document Distribution Notes (DDN) for internal documents and Document Distribution Forms (DDF) for external documents.
- Provide requested documents to internal departments or external parties.
- Distribute controlled documents as required and follow up on the return of obsolete copies.
- Update the master list of ISO and related documents regularly.
- Prepare and conduct production line audits of at least two products.
- Request training sessions from supervisors to stay updated on documentation procedures.
- Issue Document Change Notices (DCN) for revised ISO documents.
- Process obsoleted ISO documents and request return of old revisions from relevant PICs.
- Conduct internal document audits to ensure documentation is up to date at all workplace locations.
- Issue purchase requisitions for DIC-related needs.
Communication & Coordination:
- Follow up with inter-department teams on KPI submission deadlines.
- Update KPI and Quality Objective bulletins on notice boards.
- Perform tasks as assigned by immediate superior.
Qualifications:
- Strong attention to detail and organizational skills.
- Familiarity with ISO documentation systems.
- Ability to work independently and as part of a team.
- Proficiency in Microsoft Office (Word, Excel, etc.).
- Previous experience in documentation control or administrative support is an added advantage.
