Qualifications

  • Minimum Diploma in Business Administration or a related field.
  • Proficiency in English, Malay, and Japanese (oral and written) is mandatory.
  • Proficient in Microsoft Office applications.

Responsibilities

  • Service all customers within the assigned territories in order-related matters.
  • Register orders in the Corporate Business system.
  • Send out original invoices by post along with required documents from the customers.
  • Reply to customer inquiries related to orders.
  • Act as the primary contact person for customers in all order-related matters.
  • Handle Letters of Credit for customers.
  • Issue freight quotes to customers.
  • Issue Proforma invoices.
  • Follow up on payments and issue reminders.
  • Monitor delinquent customers and delayed orders.
  • Register claims and advise customers on transport of claimed units.
  • Respond to online failure claims related to orders.
  • Prepare documentation for onboarding new customers.
  • Support customer support colleagues in other territories.
  • Collaborate with cross-functional departments.

Job Description
  • Service all customers within the assigned territories in order-related matters.
  • Register orders in the Corporate Business system.
  • Send out original invoices by post along with required documents from the customers and send copies via email or fax.
  • Reply to customer inquiries related to orders (e.g., delivery time, certificates, shipping method, etc.).
  • Act as the primary contact person for customers in all order-related matters.
  • Handle Letters of Credit for customers in the territory with such payment terms.
  • Issue freight quotes to customers following established guidelines.
  • Issue Proforma invoices to customers.
  • Follow up on payments, issue payment reminders, and statements of account according to routines.
  • Monitor delinquent customers and delayed orders.
  • Register claims into the claim handling system and advise customers on transport of claimed units.
  • Respond to online failure claims related to order handling faults.
  • Prepare documentation for onboarding new customers.
  • Support and back up customer support colleagues in other territories within the Asia Pacific Business Unit.
  • Perform duties in accordance with the organization’s management system requirements.
  • Collaborate with cross-functional departments to track and ensure timely updates on customer orders and delivery progress.
Standard Qualifying Pre-Requisites

  • Proficiency in English, Malay, and Japanese (oral and written) is mandatory.
  • Proficient in Microsoft Office applications.
