Responsibilities

  • Receive new sales orders and ensure all information on the orders is adequate and properly signed-off.
  • Create sales orders in the system (SAP) upon receipt of the orders from customers.
  • Follow up closely with shipping liners and forwarding agents on shipping schedules.
  • Acknowledge to customers on shipment schedules.
  • Work closely with Planning Executive/Production Planner and immediate supervisor on stock availability and production schedules.
  • Book shipping with shipping liners/forwarding agents (based on priority of the liners against destinations) and follow up closely on booking confirmations.
  • Advise customers on any changes related to booking confirmations and goods readiness.
  • Continuously check item availability for warehouse personnel to create deliveries.
  • Follow up with sales offices on acknowledgements and maintain all records on acknowledgements.
  • Review and acknowledge all order changes and revisions. Follow up with sales office to receive revised purchase orders (P.O.).
  • Liaise with customers on any requests for Kuantan product information.
  • Continuously update Kuantan status with information on customer orders – date received, ex-work, RETA, volume, and value.
  • Work closely with Planning Executive/Production Planner and immediate supervisor upon changes or revisions of purchase orders.
  • Liaise with relevant departments on any requests made by customers related to products manufactured in Kuantan Plant.
  • Create invoices for Finished Goods shipments and verify product/quantity/price tally with P.O. received from customers.
  • Process customer requests for new materials creation for finished goods upon request from customers.
  • Verify all export freight invoices weekly.
  • Monitor lead-time measurement reports weekly.
  • Monitor non-manufacturing customer complaints (service/documents issues) weekly.
  • Update forwarders/liners on their weekly performance reports.
  • Monitor orders meeting ETA dates weekly.
  • Update rolling forecasts from customers monthly.
  • Assist in any activities requested by supervisor as deemed necessary.

Qualifications

  • Fresh Graduate in any discipline or a diploma holder with at least 3 years working experience.
  • Computer literate with good communication skills.
  • SAP knowledge is an advantage.
