Job description

Key Responsibilities:

Distributor Management

  • Maintain daily pricing checks, clear pricing issues, and approve blocked orders.
  • Ensure accurate distributor-level pricing (SLS) and communicate new product/pricing updates.
  • Monitor stock levels, coordinate timely replenishment and inter-channel stock transfers.
  • Track shipments and alert distributors on urgent GR needs due to stockouts.
  • Manage daily ops issues: product complaints, urgent orders, partial shipments, etc.
  • Prepare contract pricing for special cases and issue LOU for short-expiry stock when required.

Claims Management

  • Verify and process monthly claims (bonus, stock transfers) from distributors and customers.
  • Validate claims for DKSH/Pharmex (Malaysia) and DKSH (Singapore).
  • Approve special discounts for Caring Pharmacy group.
  • Ensure claim updates in SAP and e-invoice generation.
  • Scan and share credit note documents with distributors before month-end.

MIS Reporting

  • Update and share daily SLS Flash Sales reports (Malaysia & Singapore).
  • Consolidate distributor sales data for key monthly reports:
  • SLS Final, NRV, Channel & Country-wise Reports.

Order Processing & Invoicing

  • Process and validate sales orders (~6,000/year) via SAP with correct pricing.
  • Monitor plant inventory and plan distributor billing based on stock holding policy.
  • Ensure e-invoicing compliance with QR code validation.
  • Submit E-DO/e-invoices for Pharmaniaga and portal submissions post-delivery.

Sales Reporting & Support

  • Maintain accurate order records in SAP and generate monthly sales reports.
  • Address customer inquiries and route incoming calls efficiently.

Job Requirement

  1. Bachelor’s Degree in Business Administration, Supply Chain, Finance, or related field.
  2. Minimum 2–4 years of working experience in the pharmaceutical industry.
  3. Experience and skill in using SAP is required
  4. Basic qualification or knowledge in using SAP system especially S4 Hana system
  5. Good communication and interpersonal skill
  6. Possess the ability to work independently and attention to details
