Overview
Responsible for sales support tasks and the operations of the commercial customer service team.
Core Responsibilities
- Process customer purchase orders and attend to customer requests for quotations while supporting the sales team in office operations.
- Rectify issues related to purchase orders and communicate with customers or sellers as needed.
- Send Proforma Invoices (PI) to customers and follow up on payments in coordination with the finance team.
- Generate Delivery Orders (DO) for goods delivery or collection, providing accurate information.
- Create service requests for purchase orders involving service and calibration.
- Monitor customer orders to clear backlogs and communicate delivery or collection updates to customers.
- Handle complaints related to delivery and invoices, follow up with stakeholders, and update customers on issues.
- Respond to customer queries regarding quotations and orders, including delivery times, certificates, SDS, COA, shelf life, and payment documentation.
- Assist with new customer creation and vendor registration processes.
- Provide quotations to customers as requested, coordinating with the sales team.
- Ensure understanding of customer information such as pricing, payment terms, delivery terms, licenses, and waste collection agreements before generating quotations.
- Collaborate with the sales team to participate in and support government and private sector tenders.
Skills & Competency Requirements
- Bachelor’s degree
- Preferably 1 year of experience in the instrumentation and chemistry industry
- Proficiency in Microsoft Office, especially Excel; familiarity with systems is a plus
- Attention to detail
- Ability to work in a team across different cultures and locations
- Proactive with follow-ups and action-oriented
- Excellent communication, negotiation, and interpersonal skills
- Self-motivated with a strong desire to learn
