A leading asset management firm in Kuala Lumpur seeks a Corporate Personal Assistant to manage the daily schedule of the Director, handle communication with stakeholders, and coordinate travel arrangements. Candidates should have a relevant degree and a minimum of 3 years of experience in a similar role. Strong organizational and communication skills are essential, while proficiency in Mandarin is a plus.
Executive and Administrative Support
Manage the Director’s daily schedule, appointments, meetings, and travel plans, ensuring all arrangements are well-coordinated and executed smoothly.
Act as the primary point of contact between the Director and internal/external stakeholders, handling all communications with professionalism and confidentiality.
Draft, review, and manage correspondence, reports, presentations, and other documents as required by the Director.
Prepare meeting materials, take accurate minutes, and ensure follow-up actions are completed promptly.
Maintain and organize filing systems (digital and physical) for confidential and sensitive information.
Support the Director in decision‑making by gathering, analyzing, and presenting relevant data or information.
Plan and manage complex domestic and international travel arrangements, including flight bookings, accommodations, visas, itineraries, and transportation.
Accompany the Director on business trips, meetings, and company events when required to provide logistical and administrative support.
Coordinate meetings, conferences, and business functions, ensuring all arrangements meet professional standards.
Handle personal errands, appointments, and matters as assigned by the Director while maintaining a professional level of discretion and confidentiality.
Assist with personal events, household arrangements, and other non‑business‑related tasks when needed.
Serve as the liaison between the Director and internal teams, clients, partners, and other external parties.
Ensure effective communication flow and timely dissemination of information to relevant stakeholders.
Represent the Director in meetings or discussions when delegated.
Perform any other ad hoc duties or special projects as assigned.
Diploma or Bachelor’s Degree in Business Administration, Secretarial Studies, Financial Management, or related discipline.
Minimum 3 years of working experience as a Personal Assistant, Executive Assistant, or similar executive support role.
Ability to communicate in Mandarin is an advantage as you will liaise with Mandarin‑speaking partners.
Strong organizational and time‑management skills with the ability to multitask and prioritize effectively.
High level of integrity, independence, confidentiality, and discretion in handling sensitive matters.
Strong interpersonal and communication skills with the ability to interact effectively with people at all levels.
Willingness and ability to travel locally with the Director when required.
Possess own transport and a flexible schedule to accommodate business needs.
