Job Summary:

The Commercial Executive will be responsible for identifying new tender opportunities, managing vendor registrations, and ensuring compliance with licensing and documentation. The role supports commercial strategy by developing client relationships, coordinating tender submissions, analyzing risks, and overseeing pricing structures. Additionally, the role ensures regulatory compliance, assists in contract negotiations, and maintains commercial documents and sales data for strategic decision-making.

Key Responsibilities:
  1. New Client Tender Platforms:
    • Actively search for and assess new potential client tender platforms, evaluating their fit and potential value to the company.
    • Manage the process of registering the company as a vendor on these platforms to enable access to commercial tenders and expand business opportunities.
    • Maintain a proactive approach to market analysis to identify emerging trends and opportunities in tender availability.
  2. Compliance and Documentation:
    • Ensure rigorous oversight of all licensing, certifications, and documentation to maintain compliance across all projects and tender submissions.
    • Develop and manage a systematic approach for regular updates and audits of compliance documents to meet industry standards and legal requirements.
    • Prepare and present compliance reports to senior management, highlighting risks and providing solutions to maintain high standards of compliance.
  3. Commercial Relationships and Strategy:
    • Develop and maintain relationships with clients to establish new contracts and respond effectively to incoming tenders.
    • Collaborate with various departments within the company to ensure aligned efforts to accomplish tender submissions within scheduled times.
    • Use analytics to create action plans based on data and statistics, interpreting results against targets.
    • Develop risk assessments and pricing structures for products to work toward commercial efforts, including financial planning and budgeting.
    • Monitor local and federal regulations to ensure stakeholders adhere to and understand contractual obligations, and assess risks and make recommendations based on analysis of all factors affecting business situations.
    • Propose price quotes and commercial proposals, and assist with client negotiations on contract and pricing terms.
  4. Document Management and Sales Analysis:
    • Maintain the company’s commercial documents, such as contracts, quote sheets, proposal templates, and price lists, and make recommendations for improvements.
    • Maintain and analyze sales history and pipeline data, ensuring that business development personnel provide realistic and accurate updates.
  5. Vendor Platform Monitoring and Response Management:
    • Monitor all vendor platforms on a routine basis to extract all details for any RFI (Request for Information), market surveys, and ITB (Intention to Bid).
    • Respond on a timely basis to all inquiries, ensuring they are well attended with professionalism and punctuality.
    • Ensure comprehensive management of all responses and follow-ups to optimize engagement and potential business acquisition.
Requirements:
  • Education: Bachelor’s degree in Business Administration, Finance, Marketing, Supply Chain, or a related field.
  • Experience: Minimum 3-5 years in commercial operations, business development, or tender management, preferably in industries like oil & gas, construction, or manufacturing.
  • Knowledge: Strong understanding of tendering processes, contract management, compliance regulations, and financial planning.
  • Regulatory Compliance: Familiarity with local and international trade regulations, licensing requirements, and commercial law.
  • Tech Proficiency: Experience with ERP systems, CRM software, and Microsoft Office Suite (Excel, PowerPoint, Word).
  • Communication: Strong written and verbal communication skills in English and Bahasa Malaysia.
  • Analytical Abilities: Ability to analyze market trends, pricing structures, and sales data for decision-making.
