The Position
The Clinical Trial Payment Specialist will be responsible for facilitating all site payment activities related to Roche clinical studies, while ensuring compliance with country-specific regulations. This role requires a problem-solver who can achieve accurate and timely results while positively influencing others to meet objectives and milestones. The specialist will manage and triage escalations related to clinical trial payments, ensuring swift resolution and clear communication across stakeholders. They will also collaborate closely with cross-functional teams, such as Finance, Procurement, and Clinical Operations, to ensure alignment on payment timelines, reconciliation, and issue resolution. Proficiency in maintaining the accuracy of site payments through Roche database systems, such as SAP, MyBuy, and Veeva, is essential. The ability to work independently with minimal supervision will also be crucial in fulfilling these responsibilities.
Responsibilities
- Ensure the necessary information is recorded in Roche systems, e.g. SAP, MyBuy and Veeva to generate corresponding payment proposals and/or reports.
- Generate the necessary reports to consolidate a payment proposal per Research Center, according to Clinical Trial Agreements and appropriate timelines.
- Manage payments to the Research Centers through the applicable Roche systems.
- Perform payment reconciliation as needed, and assist the Research Centers in case of payment issues.
- Provide requested site related payment information (i.e. verification of payments, site communication) to respective countries for financial oversight purposes.
- Respond to audit inquiries and requests if applicable.
- Make recommendations regarding new and innovative solutions for payment processes, forecasts, and resources that could increase the accuracy, efficiency, and productivity of the process.
- Train new resources joining the team on payment processes.
- Maintain the data in systems.
- Update and maintain the vendor and contract information in order to process payments
- Update and maintain study status and forecast information in the Roche systems
- Ensure the accuracy of site payments
- Setting up Clinical Trial Purchase Requisition and manage them E2E
- Drive resolution of payment related issues and contribute to problem resolution
- Participate in Stakeholder meetings as a subject matter expert and point of contact
- Calculate and distribute key performance indicators (KPIs) related to payment processes, ensuring transparency and accountability across stakeholders.

Further requirements
- At least 2 years of experience in a similar role in a financial or administrative area.
- 1 to 2 years of experience in the pharmaceutical industry is an advance.
- Technical/University Degree in Business Administration and Accounting is an advance.
- Strong communication skills in English (written and spoken) are essential. Additional languages a plus, based on region/customer requirements.
- Strong sense of accountability and prioritization
- Strong interpersonal skills, collaboration, and influencing skills, and ability to build trusting and productive relationships
- Ability to navigate through a complex, broad, and diverse organization and can liaise effectively with different organizations
