Qualifications

• Diploma or degree in business-administration, marketing, or supply chain.
• 1–2 years in customer service or sales coordination.
• Familiar with export documentation and logistics processes.
• Exposure to ERP systems is an advantage.
• Proficient communication and interpersonal skills; English, Bahasa Malaysia, and Mandarin helpful.

Responsibilities

• Serve as primary contact for designated customer accounts and ensure SLAs are met.
• Process customer purchase orders accurately and align with contracts and planning.
• Generate order confirmations and resolve discrepancies with customers.
• Maintain weekly delivery calendars aligned with inventory and production schedules.
• Coordinate with supply chain, planning, operations, and freight providers to meet DIFOT targets.
• Prepare shipping, export, and clearance documentation in compliance with requirements.
• Archive load documents by purchase order for traceability and audit readiness.
• Uphold traceability per BRCGS, FSC, and audit standards with complete trails.
• Ensure timely invoicing and collect receivables within credit terms.
• Handle e-Invoicing and coordinate with Finance/IT for system transmission.
• Monitor Aging and Credit Rating reports; manage credit limits with customers.
• Communicate customer complaints end-to-end and provide timely updates and SCARs.
• Assist Marketing Manager with promotional calendars and new development (NPD) planning.
• Draft and circulate New Development emails with clear briefs across departments.
• Track promotion milestones and ensure cross-functional alignment to meet timelines.
• Declare production variances to customers and close POs with accurate inventory records.
• Maintain ERP data quality and update pricing for active and promotional items.
• Register new business partners in collaboration with Finance/IT.
• Support cross-functional collaboration and drive continuous improvement initiatives.
• Prepare daily/weekly/monthly reports on orders, DIFOT, trends, and inventory.
