Position Title: Business Finance Head
Department: Finance, Accounting & Admin
Reporting to: Managing Director

  1. Job Objectives
  • Ensure the financial and operational stability of the organization by executing and coordinating all finance-related tasks, supporting strategic decisions of the Managing Director, and ensuring regulatory compliance.
  • Drive business growth through actionable financial insights, effective bank communications, and supplier contract management that supports trading operations.
  • Promote cross-functional collaboration across HR, IT, and finance functions to improve operational efficiency and accountability.
  1. Key Responsibilities

Functional Responsibilities

  • Coordinate Finance, Accounting, and Admin functions in compliance with Malaysian regulations and internal policies.
  • Provide financial advisory to the Managing Director using current and forecasted data.
  • Act as the main liaison for all bank-related matters, ensuring timely and cost-effective execution.
  • Conduct bank analysis to recommend optimal banking partners and services.
  • Prepare monthly budget vs. actual variance analyses and propose corrective actions.
  • Monitor sales, forecasts, and collections to ensure sustainable business performance.
  • Oversee supplier contracts, including negotiation, assessment, and renewal processes.
  • Maintain and update HR records (leave, attendance, employment) with weekly reporting.
  • Coordinate annual increment, bonus, and incentive processes.
  • Liaise with IT for daily operations and manage related expenditures.
  • Stay abreast of global economic and industry developments, providing strategic input.

Managerial/Supervisory Responsibilities

  • Foster cross-department collaboration to ensure process efficiency and team alignment.
  • Guide team members in finance and administrative processes to improve their capabilities.
  • Recommend enhancements to workflows and job scopes to meet evolving business needs.

Organizational Responsibilities

  • Review and improve SOPs and financial workflows.
  • Define and monitor reporting deadlines for financial documents (e.g. Cashflow Reports, Sales Reports).
  • Present financial analyses and strategic recommendations to management.
  • Assist the Managing Director with data-backed financial decisions.
  • Collaborate with other department heads to streamline data entry and transaction processes.
  1. Success Metrics / Key Performance Indicators (KPIs)
  • Cash Flow Management: ≥ 95% accuracy of monthly forecast.
  • Financial Reporting Timeliness:
    • Weekly reports: by 2nd working day of the week
    • Monthly reports: by 5th working day of the following month
  • Bank Communication Efficiency: Zero delays or extra costs from banking processes.
  • Supplier Contract Management: Renewals completed ≥ 2 months before expiration; zero financial discrepancies.
  • Compliance Adherence: Zero non-compliance issues during audits/reviews.
  • IT Uptime: No downtime due to internal delays in IT maintenance/upgrades.
  1. Job Requirements

Education:

  • Degree in Finance, Business Administration, or related field.

Experience:

  • Minimum 10 years of relevant experience in business or finance roles.
  • At least 10 years in leadership roles involving financial decision-making.

Technical Knowledge:

  • Malaysian accounting standards and regulations.
  • ERP systems proficiency (e.g. SAP, Autocount, others).
  • Understanding of HR and IT coordination in business contexts.

Certifications:

  • Professional Accounting Certification (e.g. ACCA, CIMA) preferred.

Languages:

  • Bahasa Malaysia (mandatory), Chinese (preferred), and English (fluent, both spoken and written).
