Job summary

AURORA ITALIA SDN BHD, a premium jewellery brand originated from Italy, is seeking an Executive Assistant to support the COO. The role involves coordinating the COO's calendar, arranging domestic and international travel, preparing reports and presentations, and acting as the main liaison with internal and external stakeholders.

You will handle confidential information with discretion, draft communications, and organize meetings and events both on-site and off-site.

Responsibilities

• Coordinate and manage the COO's schedule, including scheduling meetings, appointments, and travel arrangements.
• Prioritize and manage time effectively, ensuring the COO's commitments are met.
• Act as a primary point of contact between the COO and internal/external stakeholders.
• Draft, review, and edit correspondence, reports, and presentations.
• Organize and coordinate meetings, conferences, and events, both on-site and off-site.
• Prepare agendas, documents, and materials for meetings; take and distribute meeting minutes.
• Manage and organize sensitive and confidential information, ensuring discretion and confidentiality at all times.
• Conduct research and gather data as needed for COO's decision-making processes.
• Arrange domestic and international travel for the COO, including flights, accommodations, and transportation.
• Perform general administrative tasks, including document preparation, filing, and record-keeping.
• Handle ad-hoc projects and tasks assigned by the COO.
