Associate Procurement and Facilities Management Specialist
This role involves managing procurement and facilities tasks to support our operations effectively.
Key Responsibilities
Manage financial responsibilities, including budget tracking, processing payments, and overseeing expense reports to ensure fiscal accountability and adherence to budgetary constraints.
Serve as the point of contact for branch staff on travel and accommodation needs, including checking travel authorizations, making bookings, communicating with travel agencies, and processing expense claims.
Coordinate meetings and events with internal and external stakeholders, including booking logistics and providing support during events.
Handle procurement tasks such as managing purchase orders, supplier registration, communication, and ensuring compliance with procurement guidelines. Oversee facilities-related procurement, including license renewals, insurance, and supplier payments, as well as managing work permits for contractors.
Staff the reception area, greet visitors, manage access cards, answer calls, and maintain office security procedures.
Ensure office safety, health, and well-being through maintenance, training, and policy drafting.
Provide backup support for the Tea Lady and Facility Coordinator during absences and perform other duties as assigned.
Perform additional procurement and facilities management tasks as required.
Job Requirements
At least 2 years of relevant administrative support experience.
Experience in project management and vendor management is advantageous.
Applicable qualifications.
Proficiency in Microsoft Office.
Strong interpersonal, written, and communication skills.
Ability to multitask and pay attention to detail.
Excellent organizational skills to meet deadlines.
Ability to work independently with minimal supervision.
Strong problem-solving skills.
Negotiation and vendor management skills.
