Job Purpose:
The Assistant Purchasing Manager will support manufacturing operations in Malaysia by managing procurement activities to ensure the timely acquisition of materials and services. This role focuses on maintaining optimal inventory levels, expediting material deliveries, and collaborating with suppliers to minimize production disruptions.
Job Description
Purchasing process management:
- Facilitate the preparation and ensuring the issuance of purchase orders in a timely manner based on SAP requirements
- To monitor and track supplier delivery confirmations and maintain accurate delivery dates in the SAP systems
- To monitor delivery date accuracy for open purchase orders with existing suppliers in SAP
- Lead and train purchasing team in daily purchasing process activities using SAP
Supplier Management:
- Maintain supplier lead times and purchase InfoRecords (lead times, MOQs, etc.) in SAP
- Ensure source lists are fully updated in SAP
- Coordinate with suppliers to ensure adherence to delivery schedules and quality expectations.
- Help resolve supplier-related issues including delays or discrepancies.
Inventory Management:
- Monitor inventory levels and collaborate with the warehouse/production teams for material planning and replenishment.
- Optimize safety stocks and inventory levels to ensure inventory availability balanced with working capital
Compliance & Documentation:
- Ensure purchasing activities comply with internal policies and external regulations.
- Maintain accurate procurement records, contracts, and reports in SAP
Cross-Functional Collaboration:
- Work closely with production, planning, quality, engineering and finance teams to ensure smooth procurement operations
- Work together with production on any immediate shortages and work together with purchasing team to expediate and find immediate solution
- Participate in cross-functional initiatives and improvement projects when assigned
Reporting & Analysis:
- Prepare regular reports on purchasing activities and KPIs for management review.
- Assist in analysing purchasing data and trends to support decision-making.

Job Requirement
- Bachelor’s degree in supply chain management, Business Administration, or related field.
- Solid 8 to 10 years of relevant experience in procurement, preferably within a manufacturing environment.
- Strong communication and negotiation skills.
- Strong knowledge and hands-on experience in SAP PP / MM modules are required
- Familiarity with purchasing systems and Microsoft Office Suite.
- Good command of English and Malay.
- Certification in procurement (e.g., CIPS, CPM) is a plus.
