Functional (job responsibilities)
Responsibilities
- Assist the Head of Loan Secretariat in accurate minutes taking and writing after each meeting, along with other administrative functions under the Loan Secretariat Department.
- Coordinate and administer credit papers for approval by the Management Credit Committee (MCC) and Credit Supervisory Committee (CSC), guided by the Terms of Reference (TOR) set by Hong Leong Bank Berhad's Board of Directors (BOD).
- Coordinate with the Secretariat Department for papers to be submitted for approval at BAC, BRMC, BARMC & BOD meetings.
- Ensure quorum for each meeting is met and update Committee Members and relevant departments/divisions on any changes to scheduled meeting dates, times, and venues.
- Set deadlines for submission of MCC/CSC papers for meetings.
- Identify presenters for each paper listed on the agenda, including additional papers (Late Papers) during meetings.
- Attend MCC/CSC meetings and accurately record minutes.
- Relay decisions from MCC/CSC/BOD to relevant departments via LOS and extract minutes promptly.
- Update all MIS information into the Loan Origination System (LOS) and Loan Secretariat Register; prepare & submit New To Bank Report (NTB) for MCC & CSC meetings.
- Collaborate closely with other departments/divisions in coordinating meetings.
- Supervise subordinates within the department.
- Complete all assigned tasks/projects within the stipulated timeframe.
- Assist the Head of PMO & Credit Policy - WCD on policy/SOP matters.
- Maintain compliance policies to ensure they adhere to evolving regulatory requirements and business practices.
- Analyze policies and regulations to develop new policies or revise existing ones.
- Disseminate regulatory compliance requirements and trends to foster a compliance culture.
- Keep records of policy changes and maintain departmental regulations.
Jobholder Requirements
Education/Qualifications
- Bachelor's degree or professional qualification in Accounting, Banking, Business, or Finance.
- Qualification in Company Secretarial is a plus.
Experience
- At least 1 year of credit writing experience with knowledge of business banking and products is advantageous.
- Over 2 years of experience in Company Secretarial or Credit duties is a plus.
- Resourceful, meticulous, with a systematic approach to problem-solving and ability to meet tight deadlines.
- Proficient in English (spoken and written), with strong PC skills (especially Excel and Word), and supervisory abilities.
