Assistant Manager/Senior Executive - Leasing (Paradigm Mall, PJ)

The Senior Executive / Assistant Manager – Leasing is responsible for managing the full spectrum of leasing functions for retail lots, kiosks, and push carts. This includes lease administration, tenant sourcing, market research, budget tracking, and coordination with internal and external stakeholders to ensure occupancy targets and leasing KPIs are met.

Your Responsibilities:

1. Lease Management & Legal Documentation

Manage and track leasing agreements, renewals, and terminations for retail lots, kiosks, and push carts.

Handle full tenancy process including Letters of Offer, Tenancy Agreements, and Supplementary Agreements.

Monitor lease expiries and prepare renewal and expiry summaries for management review.

Ensure execution of all tenancy documents is completed by both parties.

Liaise with legal counsel on special conditions, amendments, and clause changes in tenancy agreements.

Draft tenant correspondences related to tenancy matters, rental rebates, and terminations.

Ensure all leasing documents comply with internal policies and legal requirements.

2. Tenant Sourcing & Market Research

Conduct regular tenant searches to build and maintain a comprehensive potential tenant database.

Perform market research on shopping centre trends and retail developments to support leasing strategies and keep abreast of industry movements.

3. Budgeting & Performance Monitoring

Assist in the preparation and maintenance of leasing budgets and KPIs.

Support the Leasing team in achieving performance targets, including occupancy rate and rental income (especially for kiosks and push carts).

Provide ongoing communication and support to tenants, including updates on sales performance and other operational information.

Follow up on tenant sales reports and ensure compliance with the agreed merchandising mix stated in the tenancy agreement.

Assist in organizing tenant meetings and engagement sessions as required.

5. Internal Coordination

Work closely with the Fit-Out Department during unit handovers and returns.

Assist the Finance team in liaising with tenants on matters related to rental payments, deposits, and outstanding balances.

Provide administrative support to the Leasing Manager and Assistant Leasing Manager, including document filing, follow-ups on leasing inquiries, and collection of tenant documents.

6. Reporting & Documentation

Update and maintain the Centre’s floor plan and other related leasing documents to reflect current occupancy status.

Prepare leasing status reports and other ad-hoc reports for management review when required.

Undertake any additional duties or special assignments as directed by the Leasing Manager or Management.


REQUIREMENTS:

At least minimum of 3 years (Senior Executive)/5 years (Assistant Manager) working experience in Leasing line (Shopping Mall)

Diploma/Degree in Business Administration, Real Estate, Marketing, or a related field.

Good knowledge on shopping mall trend.

Good networking with the potential retail tenants

Good knowledge in tenancy admin and process of documentation flow.

Have good communications skills especially oral and written communication in English.

Good teamwork but able to work independently.

Outgoing and pleasant personality.
