Job Purpose

To provide managerial support for department’s daily processing in Documents Management, administrative support and subject matter expert for project(s) in ensuring compliance to Company also departmental procedure, policy and guidelines.

The Role:

  • Supervising and monitor staff productivity during day to day tasks in order to ensure department’s performance are optimized and SLA can be delivered.
  • Acts as the BCM Coordinator and manages the documentation analysis for monthly reporting.
  • To update department Standard Operating Procedures by ensuring all staffs adhere the department process and guidelines.
  • To prepare and analyze of department performance, budget and manpower resources.
  • To manage cross departments requirement for imaging and destruction services and managing overall workflow within the department.
  • To evaluate employee performance by conducting staff appraisal, review and set their KPI with superior.
  • To identify training needed by the staff and make sure all staff can meet the department’s objective.
  • To prepare any reports and statistic related to Record Management Units.
  • To prepare Yearly Outsourcing Assessment report and anything related to outsourcing.
  • Appointed personnel to manage department asset and stationery.
  • Provides administrative support for warehouse storage tendering process.
  • Provides continuous process improvement in addressing risk and compliance beside remain relevancy.
  • Takes accountability in considering business and regulatory compliance risks and takes appropriate steps to mitigate the risks.
  • Maintain awareness of industry trends on regulatory compliance, emerging threats and technologies in order to understand the risk and better safeguard the company.
  • Highlight any potential concerns /risks and proactively shares best risk management practices.
  • Other responsibilities entailed.

The Person:

  • Preferable qualification in Statistics, Records Management, Information Management, Knowledge Management, Business Administration.
  • Minimum 4 years working experience in insurance industry which experience in records management would be an advantage.
  • Leadership, problem solving, interpersonal skills, communication skills, analytical thinking, planning and organizing.
  • Communication skill, with ability to communicate at all levels.
  • Ability to produce high quality work under pressure.
  • Ability to translate business issues/challenges into effective/creative program solutions.
  • High level of integrity, takes accountability of work and good attitude over teamwork.
  • Takes initiative to improve current state of things and adaptable to embrace new changes.
