Job Purpose

Assist in the marketing, leasing, tenancy administration and operations of GELM’s Let-Out properties located in “Branches” outstation i.e. Ipoh, Johor Bahru, Kota Kinabalu, Kuching, Seremban, Penang, Sibu, Tawau (the “Properties”) and other branch properties.

The Job

Marketing & Leasing

  • Attending to leasing enquiries of all tenantable spaces under branches,
  • Schedule viewings of vacant premises by prospective tenants & marketing agents,
  • Assist in sourcing for new tenants,
  • Coordinating with local agents in respective branches on marketing leasing / marketing activities.

Tenancy Administration

  • Ensure all Request for Proposals are attended and reverted on a timely manner.
  • Upon securing the tenant, you have to liaise with legal team, compliance and CoSec (if need to) to finalise the agreements, AML screenings and any other documents related to CoSec.
  • Preparation of relevant document ie. Tenancy Approval, Letter of Offer, Tenancy Agreement, Letter of Guarantee, Addendums and any letters related to tenancy.
  • Monitor all tenancy renewal and ensure timely renewal of all tenancies
  • Preparation & arrangement for the stamping of Tenancy Agreement, Letter of Guarantee & Addendums.
  • Upon tenancy confirmation, to coordinate with FM to get ready site & hand over the site to the tenant for renovation.
  • Ensure IFCA updates on new tenancies and renewals.
  • Composing correspondence letters to tenants.
  • Updating master tenancy and occupancy on movement of tenants.
  • Advice Finance on any additional deposits collected (eg. access card deposits) and refund of deposits upon completion of renovations/tenancies.

Preparation of Reports

  • Preparation/updates for Monthly HOD meeting slides for Branches.
  • Preparation of Monthly Property Management Reports for Branches.
  • Preparation of Yearly Budget for Branches – this exercise may be done more than once a year

Customer Service

  • Attend to tenants on requests pertaining to additional allocation of season parking and building access cards.
  • Co-ordinating with carpark management for parking bays,
  • Attend to tenants’ feedback/requests and maintaining good landlord-tenant relationships.

Credit Control

  • Communicating & follow-up with tenants to clear all outstanding payments,
  • Communicate and inform CCD team on the monthly status of defaulters

Office Management

  • Liaise with head office (MGE) on purchase of office items such as stationeries, beverages, etc and to monitor the delivery of documents and payment to and from the head office.
  • Takes accountability in considering business and regulatory compliance risks and takes appropriate steps to mitigate the risks.
  • Maintain awareness of industry trends on regulatory compliance, emerging threats and technologies in order to understand the risk and better safeguard the company.
  • Highlight any potential concerns /risks and proactively shares best risk management practice.
  • Other responsibilities entailed.

Our Requirements

  • At least 3-5 years’ experience in Property Leasing and Property Management,
  • Familiar with preparation of yearly Budgets,
  • Familiar with Property Marketing strategies for Office, Shop Lots, Retail, etc.
  • Experience in Letter of Offer preparation & Tenancy Agreements vetting,
  • Able to multitask, dedicated and has a positive can do attitude.
  • High level of integrity, takes accountability of work and good attitude over teamwork
  • Takes initiative to improve current state of things and adaptable to embrace new changes
