Overview
To lead and manage the execution of the Organisation Method (OM) function by ensuring the consistency, adequacy, and comprehensiveness of all Bank documents—including frameworks, policies, guidelines, and manuals—in alignment with the Bank’s objectives, regulatory expectations, and best practices. The role will oversee policy governance operations, act as a subject matter advisor to internal stakeholders, and ensure effective document management processes.
Principal Accountabilities
- Drive cost-efficiency through effective governance of digital document management and safekeeping, minimizing warehousing and printing costs.
- Ensure optimal use of digital tools to manage document archives and version control.
- Act as a key advisor to internal stakeholders on manual governance and the development, review, and implementation of documents.
- Lead internal stakeholder engagements to ensure the adequacy, consistency, and completeness of manuals, policies, and guidelines.
- Oversee and review the preparation and quality assurance of policy documentation, ensuring alignment with internal and external requirements.
- Provide timely and accurate advisory on policy governance and documentation to support business and functional units.
- Promote paperless documentation practices and lead initiatives that support sustainable document management.
- Champion best practices in policy, procedure, and document governance aligned with industry standards and regulatory expectations.
- Manage the periodic review and lifecycle management of all Bank manuals and related documents.
- Develop and refine guiding principles, templates, and checklists for policy and manual preparation.
- Coordinate walkthroughs with document owners to ensure manuals are comprehensive, current, and free from duplication or conflicting policy statements.
- Conduct training, coaching, and awareness sessions for document owners on the importance of proper policy and procedure management.
- Ensure the Master Listing of Bank Documents is maintained accurately and updated regularly.
- Execute directives and support initiatives assigned by the Section Head, HOD, CRO, Management, and the Board as required.
Requirements & Qualifications
- 5 to 7 years of relevant experience in banking / financial environment.
- Preferably graduate degree in Finance, Banking, Accountancy, Business Management, Islamic Banking & Finance or other relevant major.
- Prior experience in document governance or policy management is preferred.
- Strong understanding of document governance frameworks, policy management, and internal controls.
- Proven supervisory capabilities and ability to manage junior team members.
- Excellent verbal and written communication skills in Bahasa Malaysia and English.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Strong analytical skills with a high level of accuracy and attention to detail.
- Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
- Sound judgment and problem-solving abilities with the ability to work independently and collaboratively.
- Integrates environmental sustainability into document management practices by promoting digital-first approaches, reducing paper usage, and supporting organisation-wide ESG goals.
- Competent in using digital platforms and tools (e.g., document management systems, workflow automation, collaboration software) to drive efficient and paperless policy governance practices.
