We are seeking candidates to to fill in the position of Assistant Manager - General Affairs to be based in Mak Mandin, Butterworth, Penang as follows:
Responsibilities
- Oversee day-to-day administrative and operational functions, including the management of office supplies, workplace cleanliness, facility maintenance, canteen operations, security services and upkeep of company vehicles.
- Supervise and coordinate the activities of Cleaning, Security and Canteen teams to ensure smooth and efficient operations.
- Manage renewals and compliance for company-related policies and licenses such as car insurance, local authority permits, and other operational certifications (e.g., Local Council, IWK, PBA, TNB).
- Propose, monitor and maintain the departmental budget, ensuring cost-efficiency and alignment with organizational goals.
- Administer the company’s general email inbox, serving as the first point of contact for incoming enquiries and ensuring timely and appropriate coordination of responses.
- Conduct regular check-ins with office staff to gather feedback on general workplace satisfaction and areas for improvement.
- Oversee and maintain contracts with external service providers, including those for cleaning, canteen, security, pest control, and animal control services.
- Coordinate employee travel arrangements, including transportation, accommodation, travel insurance, and visa applications where necessary.
- Develop, implement, and ensure compliance with company policies and procedures relevant to general affairs and administrative functions.
- Perform any other tasks or responsibilities as assigned by the superior in line with business needs.
Qualifications
- Bachelor’s in, Business Admin, Facilities Management, Engineering, Occupational Safety & Health, Risk Management, Environmental Management and Sustainability or any other related field.
- At least 8 years in relevant working experience or 3 years in Assistant Manager post in the manufacturing industry.
- Knowledge in Power BI, Occupational Safety, Health & Environment, Audits, Sustainability, Regulatory and Project Management would be an added advantage.
