Job description

Assistant Manager, Academic Administration
  • Streamline processes for Pre-University Programs (Diploma, Foundation, Certificate) and manage operations at the student service counter, ensuring efficient and high-quality service delivery.
  • Provide guidance, training, and support for staff and students, including progression briefings, personalized study plans, and counseling in collaboration with Programme Leaders.
  • Oversee course reservation and registration for Degree progression, ensuring accurate documentation and eligibility compliance.
  • Maintain attendance records, tutorial groupings, and manage new programs and intakes in the Graduate Information Management System (GIMS).
  • Prepare and deliver reference, progression, completion letters, and official transcripts/certificates, along with supporting letters for international student visa applications.
  • Act as a liaison between students, parents, and staff, ensuring timely updates on academic performance, enrollment eligibility, and academic planning.
  • Organize Diploma Graduation Ceremony, including best student lists, booklets, and event agendas.
  • Assist with MQA, MYQUEST, and SETARA audits by preparing documentation and ensuring academic compliance.
  • Compile and analyze student progression data for Head of School and Programme Leaders to support academic planning.
  • Manage requests for program changes, student deferments, and reprinting certificates/transcripts, ensuring timely and accurate fulfillment.


Requirements:

  • Candidate must possess at least a Bachelor’s Degree in any field of studies.
  • Willing to learn, adaptive and able to work independently across cultures.
  • Experience in managing a small team of 4 to 5 individuals.
  • Proven experience in managing systems with strong IT proficiency.
  • Strong problem-solving skills, with a focus on continuous improvement.
  • Able to manage multiple tasks within timelines
