Job description

Assist in the application and renewal of foreign worker work permits (PLKS), including documentation and coordination with Immigration and JTK.

Manage foreign worker accommodation arrangements to meet legal and biosecurity compliance standards (e.g., Act 446).

Monitor the welfare and well-being of foreign workers, including periodic checks on housing conditions and amenities.

Maintain updated records of workers, including passports, permits, medical checks, and training attendance.

Liaise with government agencies (e.g., DVS, JTK, Immigration) during inspections, audits, and applications.

Assist in the recruitment process including posting job advertisements, screening resumes, and scheduling interviews.

Maintain and update employee records, personal files, and HR databases.

Handle time attendance monitoring and prepare attendance reports.

Assist in onboarding and offboarding processes (preparing documents, staff orientation, exit clearance).

Support in preparing HR letters, memos, and notices (confirmation letters, warning letters, etc.).

Assist in employee engagement activities and training program coordination.

Manage day-to-day administrative tasks such as filing, document control, and correspondence.

Assist in the management of office supplies and stationeries.

Maintain records of company licenses, certificates, and renewals.

Liaise with external parties and government agencies on licensing and permit application matters.

Ensure compliance with safety, security, and administrative procedures.

Provide general support to visitors and respond to administrative inquiries.

Perform other administrative tasks as assigned by management.

Provide basic IT support to farm staff, including troubleshooting hardware, software, and network issues.

Coordinate with IT vendors and service providers for maintenance, repairs, and upgrades.

Requirements
Qualifications & Experience

Diploma or Degree in Human Resources, Business Administration, IT, or a related field.

Minimum 1-2 years in HR and administration roles. (Fresh graduates may be considered.)

Basic knowledge of IT systems, networking, and troubleshooting.

Knowledge of HR practices and Malaysian labor laws (or applicable local laws).

Proficiency in MS Office (Word, Excel, PowerPoint).

Able to work independently at the farm site and handle both admin and IT-related tasks.

Good written and verbal communication skills.

Ability to handle sensitive and confidential information.

Strong organizational and time management skills.

Attention to detail and accuracy.
