Job summary

Vistra is seeking an Assistant / Senior Assistant, Fund Services to join our Malaysia team. You will report to the Manager, Fund Services, and contribute to fund setup, investor profiling, and daily operations in a full-time role with regional coverage.

Ideal candidates have a finance or accounting background, at least 1 year of related experience (fresh graduates welcome), and strong MS Office skills. The role supports a hybrid working arrangement and ongoing process improvements.

Qualifications

• Diploma or degree in Finance/Accounting or equivalent.
• Good MS Office/Excel proficiency.
• Strong written and spoken English.
• Independent, proactive and a team player.

Responsibilities

• Monitor the team email box and provide daily summaries to clients.
• Support audit processes by organizing documents and maintaining records.
• Set up funds and investor profiles in system per fund documentation.
• Prepare and file subscription documents within required timelines.
• Update cashflow reports and maintain a master Excel file for operations.

Reporting to the Manager, Fund Services, this full-time and permanent position is based in Malaysia and offers regional coverage, allowing you to make a significant impact to our Fund Services and its’ growth.

Key responsibilities:

• Monitor the team’s daily email box and provide daily email summary report to the clients
• Coordinate and support audit processes by organising and saving documents for audit requests, maintaining clear records to facilitate smooth audits.
• Set up new funds and investor profiles in system to accurately capturing fund structures and investor details as per the provided fund documentations.
• Filing subscription documents, ensuring all information is correct and submitted within required timelines.
• Update daily cashflow reports using data from few sources, maintaining a master Excel file that is shared with the operations team.
• Maintain SharePoint folders, ensuring files are organised, up-to-date, and readily accessible for the team.
• Document and update process notes for each task, helping to build a robust knowledge base and ensure consistent task execution.
• Actively contribute to ongoing process improvements by suggesting changes and automations to increase efficiency and accuracy across tasks.
• Undertake general administration and other projects as assigned.

Key requirements:

• Minimum 1 year experience in related field
• Fresh Graduates are encouraged to apply.
• Diploma / Degree in Finance and/or Accounting or an equivalent qualification
• Computer proficiency in MS Office/ Excel Applications
• Good written and oral communication skills in English
• Independent, resourceful, self-motivated, fast learner and energetic team player.
