Overview
Assist Finance Manager with the operation and management from front office services to credit control, including insurance processing, billing, submission, and collection. Assist Finance Manager in ensuring back office process (account payable) in accordance to SOP. Assist Finance Manager in supervising and evaluating staff (Front Office, Credit Control and Back Office - Account Payable). Assist Finance Manager in the financial affairs of the hospital in accordance with business unit goals, sound business practices, hospital policies and in compliance with various regulatory requirements.
Duties and Responsibilities:
Front Office and Credit Control
- Must have full knowledge and master in overall Finance Business Process workflow from admission to discharge, back office function and credit control.
- Assist Finance Manager to:
- 1. Ensure overall process flow from order to cash (from front office to credit control) are properly carried out.
- 2. Ensure information updates from inter-department and external (insurance, TPA, corporate, patient) are properly disseminated to all finance department.
- F. Monitor discharge process flow and initiate necessary meetings as and when required with Charge Nurse and other departments HOD to highlight process for improvement.
- 4. Liaise with consultants, patient and agent as and when required for all matters relating to billing, payment, insurance enquiries, debtor management etc.
- 5. Prepare and monitor promotional voucher (medical packages) and liaise with Marketing department on the package pricing.
- 6. Attend to insurance audit query, segregate among Finance Executive - Front Office.
- 7. Supervise and provide guidance to finance personnel - Front Office and Credit Control on daily operations in order to maintain a smooth workflow.
- Facilitate the flow of communications within credit control, front office and all other departments within and outside the hospital.
- 9. Oversee and assist in resolving credit control arising issues and front office issues.
- 10. Provide professional and helpful services to all customers.
- 11. Prepare report analysis as and when required.
- 12. Attend meetings as required.
Back Office Management (Account Payable)
- Assist Finance Manager to:
- 1. Manage and monitor accounts payable activities, ensure timely payments of vendor invoices and expenses, and maintain accurate records and control reports. Maintain timely contact with employees, vendors, and patients.
- 2. Monitor Account Payable team on invoice processing and communicate with respective Head of Department to comply with finance business process on invoice submission.
- 3. Monitor petty cash management and compliance.
- 4. Monitor refund process to patient. Provide recommendations to improve deposit collection to refund process flow as and when necessary to meet patient expectations and satisfaction.
- 5. Assist and guide back-office staff on non-routine transaction problems which require resolutions.
- 6. Monitor order to cash and collection process, to ensure compliance with SOP.
- 7. Oversee Fixed Asset Management for overall hospital. Ensure the existence, verification, write off and disposal processes are compliant with SOP.
- 8. Attend meetings as required.
Assist in Staff development and performance improvement
- 1. Provide coaching / mentoring to finance personnel and assist in developing staff skills.
- 2. Perform supervisory functions for front office, credit control and back office, to include interviewing and recommending the hiring of new staff members; provide or arrange for training for staff; evaluate staff performances and recommend appropriate actions to ensure adequate and competent staffing.
- 3. Drive for continuous improvement on competencies and processes that are relevant to the healthcare industry.
- 4. Perform other related duties as assigned.
Education and Requirements
- > Degree in Finance/Accountancy or any other related field.
- > At least 5 years of experience in hospital.
- Possess good leadership, negotiation, communication and interpersonal relationship skills and good judgment.
- Good command of both written and spoken English and Bahasa Malaysia.
