Post Title : ASSISTANT EXAMINATION OFFICER
School/Department : STUDENT WELFARE AND ACADEMIC SERVICES (SWAS)
Reports to :SENIOR EXAMINATION OFFICER
Intake: MAY/JUNE 2025
Purpose
The post holder provides essential support to the Senior Examination Officer in the coordination and administration of the University’s examinations, ensuring smooth operation, integrity and compliance with regulatory requirements.
Team Structure
The post holder reports directly to the Senior Examination Officer. The role involves close coordination with the SWAS team and academic departments.
Main duties and responsibilities
Assist in the preparation and communication of detailed examination timetables for each examination season.
Support the maintenance and periodic review of the Examination Handbook and related policies.
Coordinate with Facilities or Campus Services for examination logistics, including room setup, signage, and stationery.
Assist in the preparation and secure printing of examination papers, ensuring special requirements are addressed.
Prepare candidate lists and anonymity numbers to support anonymous marking processes.
Provide administrative assistance in the marking process, collation of marks, and moderation support.
Support final checks and data entry into RISIS or other assessment systems under supervision.
Assist in communication with the UK University Examinations Office and respond to documentation requests.
Support the preparation of materials and documentation related to appeals, extenuating circumstances, or disciplinary cases.
Assist with inter-campus examination arrangements in coordination with UK counterparts.
Support all phases of invigilation: recruitment, training coordination, scheduling, and feedback.
Contribute to audit preparations, policy development, and documentation updates as needed.
Assist in Graduation, Welcome Week, and other University events as directed.
Undertake any other duties within the scope of the post as allocated by the line manager.

Qualifications and Experience
CRITERIA
Attainment
Essential
Diploma level qualification with relevant work related experience or an equivalent combination of relevant experience and/or education/training.
Skills Required
Ability to plan and monitor deadlines.
Ability to work closely with academic colleagues and UK counterparts.
Ability to uphold examination regulations.
Knowledge
Essential
Proficient with Microsoft Office software.
Desirable
Familiarity with university assessment procedures and academic regulations.
Essential
Relevant experience in the conduct of examinations and assessments.
Experience supporting exams or student services in a higher education or transnational education setting.
Other
Excellent English and Bahasa Malaysia written and oral communication skills
Ability to deal with employee and clients at all levels with tact and discretion.
High integrity.
Meticulous and keen eye for detail.
Strict yet pleasant disposition.
Desirable
Calm and composed under pressure; adaptable to last-minute changes.
Supervision received
The Assistant Examination Officer will report to the Senior Examination Officer. The role requires close coordination with the wider SWAS team, academic departments and administrative colleagues. High confidentiality and professionalism are expected.

Terms and conditions
This post is full-time and permanent. The probationary period is six months. The post is based at University's Educity campus, Iskandar Puteri, Johor. Occasional evening or weekend work may be required during examination periods.
