Job Opportunity: Secretary / Administrative Assistant

Requirements:
  1. Candidate must possess at least a Higher Secondary/ STPM/ A Level/ Pre-U, Professional Certificate, Diploma, Advanced/Higher/Graduate Diploma, in any field.
  2. Have at least 1 year of working experience in a related field (fresh graduates are welcome to apply).
  3. Required languages: English, Bahasa Malaysia.
  4. Demonstrated skills with Microsoft Office applications (Excel, PowerPoint, Word, etc.).
  5. Excellent organizational, problem-solving, and communication skills.
  6. Good working attitude and willingness to learn.
  7. Able to work under minimum supervision, under pressure, and handle multi-tasking.
Responsibilities:
  1. Handle incoming calls and manage meeting schedules, correspondence, reports, and related documentation.
  2. Perform secretarial duties, administrative tasks, and manage confidential matters.
  3. Maintain proper filing systems for smooth data retrieval.
  4. Organize and coordinate meetings with internal departments and external parties such as SSM, auditors, bankers, and lawyers.
  5. Prepare daily correspondence and printing materials.
  6. Manage incoming/outgoing mail.
  7. Assist with secretarial duties including compliance with laws, drafting minutes, circular resolutions, and Board papers.
  8. Familiar with MYCOID and MBRS systems for filing purposes.
  9. Ensure timely filing of all regulatory returns with SSM, including annual returns and accounts.
  10. Monitor statutory document filings and ensure records are updated.
  11. Manage shareholder details, share transfers, and director appointments/resignations, ensuring timely updates in SSM and registers.
  12. Track and monitor circular resolutions and ensure compliance with applicable laws, especially the Companies Act 2016.

Working Hours:

Monday to Friday, 9 hours per day (including 1-hour lunch break).
