Job description

Job Responsibilities:

  1. Oversee the day-to-day office operations, including managing supplies, equipment, and facilities to ensure functionality.
  2. Maintain a clean and organized work environment.
  3. Supervise Administrative Department activities, including Safety, Health, Security & Environment, IT, and factory maintenance.
  4. Coordinate with team members to ensure smooth workflow and project execution.
  5. Plan and organize office events, meetings, and employee gatherings.
  6. Handle incoming communications such as phone calls, couriers, and letters.
  7. Manage procurement of office supplies, indirect materials, and equipment rentals.
  8. Supervise security personnel and their duties.
  9. Manage visitors and foreign colleagues, including arrangements for hotel bookings, house and car rentals, and travel.
  10. Ensure timely submission and renewal of company certificates and licenses per government requirements.
  11. Negotiate and execute tenancy agreements for warehouses and other premises.
  12. Procure necessary insurance coverage, including property and liability insurance.
  13. Ensure compliance with ISO standards and CSR standards.
  14. Review and update Health, Safety, Security & Environmental policies.
  15. Manage submissions and inspections for JKKP, BOMBA, DOSH reports.
  16. Perform additional tasks as assigned by senior management.

Requirements:

  • Diploma qualification or higher.
  • Proficiency in Mandarin (reading, writing, speaking) for communication with HQ in China.
  • Minimum of 5 years of relevant work experience.
  • Strong communication and interpersonal skills with attention to detail.
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Independent, self-motivated, and capable of supporting departmental functions.
  • Understanding of corporate structure and governance.
