Assistant - Administration (Property Management)

Sunway Property & Facilities Management (Sunway PFM Sdn Bhd) is the Sunway Group’s asset management firm established in 1991. The company manages a diversified portfolio of 32 million sq ft of real estate space, including office, retail, hospitality, medical, residential, and education developments. The organization has a team of 160 professionals and technical staff, driven by core values, vision, and mission. Its strong engineering capabilities include preventive and predictive maintenance to ensure optimal asset performance and long-term cost efficiency.

Job Responsibilities
Marketing Matters
  • Assist in organizing event activities to generate additional income
  • Develop and maintain relationships with event organizers, tenants, vendors, and business associates
  • Coordinate all activities and establish an annual event program
  • Send marketing materials for compliance review and follow up for approval
  • Prepare marketing materials and artworks for social media (Facebook, Instagram, newsletter)
  • Manage social media content and updates
  • Create artwork for marketing and festival decorations with appropriate themes
  • Develop monthly newsletters
  • Update tenancy agreements and related matters for common area income
  • Update rental agreements for Sunway South Quay (SSQ)
Operation / Admin Matters
  • Generate purchase orders and requisitions
  • Remind top debtors through reports
  • Serve as Duty Manager on weekends (Saturday 9am – 1pm)
  • Ensure service provider agreements are in order (signed, stamped, uploaded)
  • Maintain maintenance equipment records (stock cards, asset listings)
  • Update monthly occupancy reports based on tenant activities
  • Arrange poster advertisements in lifts
  • Update rental income records
Qualifications
  • Minimum 2 years of administrative experience, preferably in property management
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong organizational and multitasking skills
  • Excellent communication skills
  • Familiarity with property management software is a plus
Education
  • Diploma or degree in Business Administration or related fields
