- Bachelor’s Degree in a relevant field (required).
- Minimum 2–3 years of experience in Asset Management.
- Proficient in English; ability to communicate in Mandarin is an added advantage.
I. Procurement
- Perform data entry and update procurement information in both OA and YonYou systems
- Verify procurement documentation for completeness and accuracy before processing in OA system
- Liaise with Finance department to ensure entries are accurate and complete in YonYou system.
- Review Purchase Requests (PRs) submitted by other departments through the OA system and convert approved PRs into Purchase Orders (POs), followed by Goods Receipt Notes (GRNs) in YonYou system
- Provide system-generated PO copies to departments upon request
- Follow up internally to clean up pending or open procurement workflows
- Ensure timely and accurate closure of procurement processes in both systems
- Monitor and track procurement progress from request to goods receipt
II. Fixed Asset Management
- Conduct annual physical inventories (1–2 times per year) to ensure asset records are accurate and up to date
- Supervise the verification and registration of assets across all departments and colleges
- Manage the movement of assets, including transfers, loans, and disposals, following university policies and procedures
- Maintain the asset administrator roster for all departments
- Organize and deliver training sessions to asset administrators on asset management guidelines
- Consolidate monthly asset updates gathered from all departments by the 5th of each month and maintain proper records for reference purposes
III. Warehouse Supervision
- Ensure the security and proper storage of all items in the warehouse, following university policies and procedures
- Monitor warehouse access, stock movement, and storage conditions to prevent loss, damage, or unauthorized use
- Coordinate the allocation and distribution of equipment to departments and units across the campus based on approved requests
IV. Facility Inspection
Perform weekly inspections (Thu/Fri) in:
- Identify and report any defects, damages, or safety hazards observed during inspections and ensure they are followed up until completion.
V. Complete other ad-hoc tasks assigned by leaders with a proactive and solution-orientedapproach.
- Annual Leaves: Fixed leaves = 5 weeks, and Flexible leaves = 10 days per year, which will be announced every year.
