Summary of Duties:

To provide administrative support and assist with various tasks related to meeting coordination, document management, and general office administration. The role includes writing meeting minutes, translating documents in English, Chinese, and Malay, and ensuring smooth operations within the office.

Principle Accountabilities:
  • Accurately write meeting minutes in English, Chinese, and Malay.
  • Prepare and coordinate management reports for committee meetings.
  • Ensure timely delivery of reports to stakeholders and manage sensitive information confidentially.
  • Organize and coordinate meetings, including logistics and catering.
  • Support building development projects and maintain proper documentation.
  • Organize and maintain filing systems (both paper and electronic).
  • Answer phone calls and direct inquiries appropriately.
  • Greet visitors and ensure they are directed to the right personnel.
  • Manage incoming and outgoing correspondence (emails and physical mail).
  • Assist with organizing hospital events such as Annual General Meetings, fundraisers, and celebrations.
  • Support the preparation of the Annual Report/AGM, including bookings and write-ups.
Requirements:
  • Diploma in secretarial, administrative management, or related field.
  • Ability to work under pressure and meet deadlines while maintaining professionalism and discretion.
  • Ability to adapt to changing schedules and tasks.
  • High attention to detail, tact, and diplomacy in communication.
  • Willingness to work flexible hours when required, and a strong team player with a collaborative attitude.
  • Strong organizational, time management, and communication skills.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint).
  • Good command of spoken and written English, Malay, and Mandarin Chinese.
