Administrative Executive (5.5-day week)
Overview
We are seeking a highly organized and proactive Administrative Executive to provide essential support to our operations and ensure the smooth running of our office. The ideal candidate will be a skilled communicator, adept at multitasking, and committed to maintaining the highest level of professionalism.
Key Responsibilities
- Execute key operational and administrative tasks to enhance workflow efficiency and ensure strict compliance with company policies.
- Serve as the primary point of contact, effectively liaising between customers, the internal sales team, and external partners to promptly resolve inquiries and issues.
- Accurately generate, process, and manage customer orders, invoices, and related documentation for after-sales support.
- Professionally handle all inbound customer communications via phone and email. Prepare, edit, and format documents, presentations, and reports.
- Handle all confidential and sensitive information with the utmost discretion and integrity.
- Assist in the preparation of reports and perform basic data analysis to support management decision-making.
- Organize and maintain office operations, including record-keeping systems, filing, and managing office supplies inventory.
- Plan, coordinate, and execute company events, meetings, and conferences, both on-site and off-site.
- Proactively manage and complete additional projects and duties as assigned by management.
Requirements
- Proven experience as an Administrative Executive, Admin Assistant, or similar role.
- Proficient in MS Office and office management software.
- Exceptional communication skills, both written and verbal.
- Strong problem-solving abilities and a patient, customer-first attitude.
- Meticulous attention to detail and superb organizational skills to manage multiple tasks.
- Ability to work collaboratively with internal sales team and external partners.
- Possession of a Bachelor's Degree is an advantage.
- Comfortable working 5.5 days per week.
- Monday to Friday, 9:00 am to 6:00 pm (Working from Office)
- Saturday, 9:00 am to 1:00 pm (Working from Home)
