A leading IT services provider in Malaysia is seeking an Administration Executive to manage office operations and coordinate activities across departments. The ideal candidate should possess a diploma in Facility Management or Business Administration, with proven experience in administrative roles. a) Identify, escalate and report any structural or equipment issues, including wall cracks, leaks, and broken fixtures. Ensures that periodic pest control and water filter services are carried our as scheduled.
b) Ensure that all office areas are kept tidy and cleaned regularly
c) Monitor the security and safety aspects of the building, including alarm systems, CCTV functionality, fire extinguishers and the availability of personnel. Report any irregularities to Admin at HQ. Oversee the inventory in the pantry, restrooms and other common areas. (Windows/doors, malfunctioning shutters, AC Units, lighting and clogged sinks
2) Office Equipment's.
(OT, Allowances & Monthly Reimbursements), for manager approval and submit them to the relevant HR and Finance departments for processing.
Bills for service providers (Cleaning, security & logistics) initiate the payment process. (Purchase Requisition)
b) Manage pool car usage (Maintenance, Repairs, & monitoring for any summons. Keep details record of car usage and promptly address any summons. Coordinate repairs for maintenance, seeking manager approval when necessary.
c) Coordinate candidate interviews (ensure all required documents are submitted) get appropriate arrangements.
d) Reports: Staff Attendance records, courier tracking, and other as required.
e) Manage document disposal by removing used FSR/ER booklets and any documents order than 7 years.
3) Procurement
Compile and submit audit reports to internal auditor, tracking items sent for repair and following up on pending items.
Gather and compile quotations for hardware and peripherals commonly purchased for field service.
Generate Purchase Requisitions (PR) in the SAGE system for repairs, stationery, services, and other needs, with manager approval.
Ensure timely follow-up on invoice payments to vendors and suppliers.
Coordinate with various departments (HQ Admin, Marketing, HR, Finance), suppliers, and customers to address inquiries and fulfill needs.
REQUIREMENTS
Diploma in Facility Management, Business Administration, or a related field (or equivalent experience).
Proven experience as an Administration Executive or in a similar administrative role.
Proficient in office software (MS Office Suite, Excel, Word, PowerPoint) and enterprise systems (e.g., Sage, DHL).
Knowledgeable in standard operating procedures, ISO standards, and company policies.
Capable of handling sensitive information with discretion and integrity.
Attention to detail, ensuring accuracy in data entry, documentation, and reporting.
Skilled in managing time effectively to consistently meet deadlines.
