Key Responsibilities
  1. Providing comprehensive secretarial and administrative support to the Head of Department (HOD).
  2. Managing daily administrative tasks and assisting in implementing departmental policies and procedures.
  3. Supporting departmental executives with their administrative duties.
  4. Organizing and maintaining department files and records.
  5. Scheduling meetings and appointments, and organizing meeting rooms.
  6. Arranging meetings with government agencies, ministries, and royalty.
  7. Screening calls, emails, inquiries, and requests, handling or directing them appropriately.
  8. Monitoring maintenance and service of departmental equipment.
  9. Overseeing procurement of stationery supplies via Ariba.
  10. Assisting in preparing the annual departmental budget.
  11. Sourcing suppliers and materials as needed.
  12. Coordinating distribution of festive gifts, hampers, and calendars.
  13. Arranging flowers, fruit baskets, or wreaths when required.
  14. Managing reservations for restaurants, hotels, and travel arrangements.
  15. Handling courier, postal, fax, banking, and administrative issues.
  16. Preparing departmental reports, budgets, and compliance submissions.
  17. Assisting with creative work for invitations, posters, and other materials.
Requirements
  • Bachelor's Degree in Business Studies, Administration, Management, or equivalent.
  • At least 2 years of relevant experience.
  • Detail-oriented with excellent communication skills.
  • Ability to develop presentation slides within tight deadlines.
  • Proficiency in PowerPoint, Excel, and other design tools is an advantage.
