Job description

Job Responsibility
  • Respond to customer inquiries, schedule service appointments, and provide updates on service progress.
  • Process service orders and maintain accurate customer records.
  • Allocate tasks to technicians based on their expertise and availability.
  • Ensure technicians have the required tools, parts, and materials for their work.
  • Monitor service timelines and ensure timely completion of jobs.
  • Maintain and update service records, job cards, and invoices.
  • Monitor and manage inventory of parts, tools, and supplies, ensuring proper storage.
  • Order necessary parts and handle warranty claims or returns as needed.
  • Generate invoices for services rendered and process customer payments.
  • Support the workshop’s daily operations, ensuring safety protocols and cleanliness are upheld.
  • Assist with administrative tasks such as phone calls, emails, and general paperwork.
  • Prepare reports on workshop performance, inventory usage, and productivity.
  • Provide updates to the workshop team on schedules, appointments, and any changes.
  • Ensure compliance with safety, environmental, and industry-specific regulations.
  • Identify and suggest improvements to customer service and operational processes.
Job Requirements
  • Minimum SPM or Diploma in Business Administration, Office Management, Automotive Technology, or a related field.
  • At least 1 year experience in an office support role or in the automotive industry.
  • Fresh graduates are most welcome to apply.
  • Able to speak in Bahasa Malaysia, English, and Mandarin.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize effectively.
  • Excellent knowledge of MS Office.
  • Computer skills – using appropriate computer skills and knowledge, ranging from data entry to system analysis, to achieve work goals.
  • Written and verbal communication skills.
