Job description
*Key Responsibilities:*
- Answer Calls and Correspondence: Professionally manage phone calls and correspondence, ensuring timely responses.
- Maintain Database: Ensure data integrity, update records, and improve database accessibility.
- Meeting Calendar Management: Coordinate meetings, schedule appointments, check participant availability, book rooms, and distribute necessary materials.
- Travel arrangement: Book flight tickets, cars, accommodations and restaurant reservation.
- Reorder Supplies: Monitor office inventory, reorder supplies, and manage vendor relationships.
- Claim submissions: Expenses claim through Concur etc.
- Kronos Timecard: Manage time attendance system.
- Maintain Contact List: Keep an updated contact list for team members, clients, and vendors to facilitate communication.
- Coordinate Office Activities: Plan and organize office events and activities to promote team engagement.
- Develop Filing System: Create and manage an organized filing system for easy document retrieval.
- Take Meeting Minutes: Record and distribute meeting minutes, summarizing key discussions and action items.
- Assist Visitors: Greet and assist visitors, offering the necessary support during their visit.
- Generate Reports: Compile administrative reports and analyze data to aid decision-making.
- Provide Administrative Support: Assist with document preparation, data entry, and project support.
*Requirements:*
- Associate’s Certificate/Diploma/Degree in related field.
- Prior administrative experience.
- Attention to detail.
- Multilingual may be preferred or required. Desire to be proactive and create a positive experience for others.
- Excellent written and verbal communication skills in the English language.
- Proficient computer skills, especially with the Microsoft Office Suite and online research tools, databases, and e-filing systems.
- Ability to provide quality work at a fast pace.
- Approachable demeanor, fostering a team player attitude.
- Experience with Freescale/NXP System will be an added advantage.
- Good communication skills and fluent in English.
