Job Responsibility

  • Team Leadership & People Management:
  • Supervise and lead administrative task
  • Monitor daily performance, punctuality, work quality, and attitude of team members
  • Provide coaching, feedback, and on-the-job training to support staff growth and accountability
  • Create and manage staff duty rosters, leave planning, and backup coverage
  • Foster a positive, disciplined, and collaborative work environment
  • Operations Oversight:
  • Ensure smooth day-to-day operations across front desk, billing, scheduling, and support functions
  • Oversee patient registration flow, appointment management, and queue efficiency
  • Resolve operational issues on the ground and escalate when necessary
  • Customer Service Quality:
  • Uphold high standards of patient service and experience
  • Intervene in handling patient complaints or service recovery when needed
  • Conduct regular staff briefings and service refreshers to maintain quality
  • Administrative & Compliance Responsibilities:
  • Ensure accurate documentation, patient records, staff records, and compliance with clinic and business SOPs
  • Monitor supplies, inventory, and procurement needs of the clinic
  • Assist in maintaining cleanliness, tidiness and safety protocols
  • Communication & Coordination:
  • Support implementation of new policies, initiatives, or software by guiding the team
  • Coordinate with other departments (e.g. practitioners, human resource, marketing) on joint efforts

Job Requirements

  • Administration Assistant Manager plays a key role in supporting the daily operations of our healthcare center. This position ensures that administrative, operational, and support functions run efficiently, enabling clinical teams to focus on delivering quality patient care. The Assistant Manager will work closely with the management team and staff to uphold service standards, manage workflows, and contribute to a positive patient experience. At least 2â3 years of administrative experience is preferred. Experience in healthcare or clinical setting is a bonus.
  • Strong people and managing skill: Effective management skills, conflict resolution, and delegation skills are required for this role
  • Strong sense of ownership: Cares deeply about patient e experience and takes initiative to solve problems and follow through
  • Communication Skills: Excellent verbal and written communication skills are essential for interacting with patients, colleagues, and other stakeholders. Mandarin speaker is preferred.
  • Basic Clinical and Administrative Skills: Tasks include taking x-ray files, assisting with patient preparation for visits and providing basic patient care support
  • Organizational Skills: Ability to manage multiple tasks, prioritize work, and maintain an organized environment. Able to work in a fast-paced, patient-centered environment
