We are looking for a highly motivated and detail-oriented Administration and Operations Executive. The ideal candidate will possess strong organisational skills and the ability to manage multiple tasks effectively. The role will involve overseeing various administrative functions, including managing payments received through HRD Corp, vendor management, invoicing, and participant registration for training courses.
Key Responsibilities:
● Coordinate participant registration and enrollment for training courses (e.g. BLS, ACLS, PALS, ITLS, PHTLS, OFA, etc) and manage end-to-end training logistics
● Issue course materials, class notifications and reminders before course
● Manage the preparation and distribution of training certificates upon course completion
● Provide pre- and post-course support to clients
● Handle data entry, document filing and record keeping in line with internal policies and data protection laws
● Support HRDCorp-related processes including registration, documentation and claims submission, in compliance with funding guidelines
● Prepare documents and register for MMA & CPD points
● Provide general administrative support to training and operations teams as needed
● Work with the operation team to track payments and assist in simple bookkeeping tasks
● Assist in ensuring course documentation complies with AHA/NAEMT/MPA standards
● Support Quality Assurance by tracking course feedback for continuous improvement of training quality
● Provide cross-functional support to other departments to ensure seamless operations across the organisation
Requirements:
● Bachelor’s degree in business administration, or a related field
● Fresh graduates are encouraged to apply. 1-2 years of experience in administration or related roles, with knowledge of HRD Corp programs and regulations is advantageous
● Familiarity with HRD Corp online systems and portals such as e-TRiS is advantageous
● Excellent organisational and multitasking abilities, with a keen eye for detail
● Ability to work independently and collaboratively in a fast-paced environment
● Experience in coordinating training programs or events is a plus
● Proficiency in spoken and written English and Bahasa Malaysia
● Proficiency in CRM software and other relevant tools
